- Reporting to the Office Manager, this role resides within CME's Bangalore Business Operations Office.
Principal Accountabilities :
Greet guests and ensure visitors are signed-in and escorted as and when needed
Meeting room management
Managing the companys reception area
Managing incoming calls to company switchboard
Signing in, security badging and security procedures
Handling special administrative projects, as well as overflow work from other admin assistants
Assistance with conference and meeting management may also be required.
Create documents, presentations and spreadsheets using MS Office. Eg. Org Charts, Space planning using Visio, PowerPoint presentations, travel calendar
Support new-hire on-boarding and related administrative tasks - issue of id badges, day one orientation and register
Support the co-ordination of guest travel reservations and related record keeping
Place and track orders for stationary and other office supplies as required
Support the office manager with office space planning and related administrative tasks
Support mailing and shipping through the Post and local couriers
Coordinate and schedule internal and external meetings; which will include managing schedule changes and conflicts as well as organising catering requirements
Assist with expense reporting and invoice reconciliation
Screen and respond to/direct incoming phone calls, emails and inquiries in a professional manner, using independent judgment to determine appropriate resolution and priority
Assist with Event management where required
Criteria
Minimum of 1-2 years of experience providing administrative and front of house reception services in a corporate office environment
Intermediate Microsoft Office skills, including Microsoft Word, PowerPoint, and Excel
Must possess excellent written and verbal communication skills
Must possess strong organizational skills, attention to detail, and customer service orientation
